Quotation Validity

Quotations are valid for two weeks from the date they are emailed to you.  After this time, we reserve the right to change the price.

Price

For wedding cakes being booked for delivery after March 2019 we reserve the right to make price adjustments to reflect any sharp increase in the price of ingredients following the UK leaving the European Union.

Ordering

We prefer two weeks notice to order a celebration cake and at least three months for a wedding cake.  In both cases we may accept less notice if our workload permits it.  Orders are taken on a first come, first served basis, so the more notice you can give us the better.  All cakes are decorated by hand and are unique to you, we therefore require sufficient time to be able to complete each commission.
Placing an order and paying a deposit automatically signifies your acceptance of these terms and conditions.

Payment of Deposits

A non-refundable deposit of 50% is required to secure your order.  Please be aware that until your deposit is paid the date is still available to other customers.

Payment can be made by bank transfer, cash or Paypal. 

Cheques can be accepted for the deposit but cannot be used as a payment method for the final payment.

Payment of the Final Balance

Final payment for a celebration cake can be made on collection (by cash) or by bank transfer prior to collection.

Final payment for your wedding cake is required no later than one month before the delivery/collection date.  It is your responsibility to remember to send this payment.

For wedding cakes payment can be made by bank transfer, cash or Paypal. 

Save the Date Arrangements

This is only available to customers ordering a wedding cake over one year in advance of the wedding date.  In this instance we will accept a non-refundable deposit of £50 to secure the date.  Six months before the wedding date a further non-refundable deposit of 50% of the total order value is due to be paid.  The balance (less the 50%) save the date fee will be due for payment no later than one month before the wedding date.

Cancellation by customer

The 50% deposit paid for all cakes is non-refundable in the event of you wishing to cancel your order.
If wedding cake orders are cancelled within one month of the delivery date then we reserve the right to keep/seek the total cost of the cake as quoted.  You will be advised to claim this amount through your wedding insurance policy.

Cancellation of all orders must be made in writing (by letter or email) and will be deemed to be effective from the date your letter/email is received.

If you postpone the event we will endeavour to transfer your order providing the date is suitable for us, otherwise it shall be treated as a cancellation, with the terms above applicable.

Cancellation by Little Cottage Cakes

We retain the right to cancel the booking in very unusual circumstances beyond our control, such as fire or ill-health for example.  In this situation we will refund, in full, any money taken.  We will also help you to find an alternative cake maker.

Collection/Delivery

Celebration cakes can be collected from our premises at a prior agreed time/date.  We recommend that cakes are placed flat in the boot of your car, not on a seat where they can slide and tip and become damaged. They cease to be our responsibility when they have left our premises.

Wedding cakes are usually delivered and set up by us at your venue on the day of the wedding.  We will endeavour to deliver as near to a specified time as possible, however we cannot be held accountable for unexpected traffic delays, adverse weather conditions, etc. Delivery is charged on a mileage and time basis.  This is factored into the quotation provided to you.

It is clients’ responsibility to ensure arrangements are made for the cake table, linen, cake stand and knife, which should all be set-up prior to our arrival.  If any delay is incurred due to these not being set up we reserve the right to charge for any delay incurred (labour/time costs at £20 per hour).  Please ensure extra care to ensure a stable cake table is available if you are having a marquee wedding, as surrounding floorboards can easily rock the cake.

We reserve the right to refuse to leave a wedding cake in a venue that is too hot, for example a marquee in the height of summer.  Leaving the cake could result in melting and collapse.  If space is not available in the venue's cold rooms, or they refuse to accept it into their cold room, then the cake will be re-delivered just before the cutting ceremony and an extra delivery charge will be made.

Please remember that cake decorations are very delicate items, and we cannot accept responsibility for damage that is done to the cake after it has left our possession if it is collected.  Additionally, if a cake is delivered and signed for, any damage thereafter ceases to be our responsibility.  In the case of wedding cakes, they are photographed from all angles once set up, these photographs will be used as proof that the cake was set up properly and that no damage was present at the time of set up.

Storage

Sponge cakes:  Your cake is baked to ensure it is fresh for the date of your event, we cannot guarantee its quality if it is consumed in the days after the event.  Our cakes are made entirely of natural ingredients, so we would like to remind you that because of this they will not have the extended shelf life of most supermarket cakes which contain additives and preservatives.

Fruit cakes:  fruit cakes will be OK to be eaten after your event as long as they are wrapped and stored suitably.

Cake Stands

If you would like to hire a cake stand or log then you will be required to pay a deposit before your event.  This can be by bank transfer.  The amount will vary depending on the item you would like to hire. 

Please make arrangements to ensure hired items are safely returned to us within 7 days of the event, or sooner if specified. 

Once we receive the hired item back we will release the deposit held subject to no damage or breakages, or in the case of cupcake towers stands, that no pieces are missing.

If it transpires that we have to collect the stand from your venue then we will deduct time/mileage costs from the deposit paid and return the balance to you if appropriate.


Copyright/Copying Cakes

We reserve the right to decline to make cakes based on copyrighted images/characters.  If we are asked to copy the work of another cake maker, we will never guarantee to give you a cake exactly the same, it will be our interpretation.

Colour matching

We must make it clear that when we are asked to match decorations etc to a specific colour we will do our best but cannot guarantee to do so exactly as we are working within the limitations of food colouring.

Additionally, if colour matching is very important to you please provide a swatch of the colour you would like, or a picture if appropriate.

Portions/portion guides

Our portion guides, and the number of portions given in your quotation, are intended as a guide only.  The number of portions obtained will vary dependent on the person cutting the cake.  We will provide a portion guide with your wedding cake.

Fresh Flowers

If your cake requires fresh flowers, these are not included in the price quoted to you.  We are happy to work with your florist but expect you to make all the necessary arrangements with the florist prior to the date of your wedding.  Please note that Little Cottage Cakes are not responsible for any problems with your fresh flowers.  Additionally, we cannot take responsibility for any damage rendered to the cake caused by a floral arrangement that was made and placed on the cake by your florist. 

It is your responsibility to ensure that your florist does not use any toxic or poisonous flowers or foliage on your cake, e.g. Ivy.

If fresh flowers are used, the cake will be set-up as late as feasibly possible to ensure their freshness throughout the day.  However, depending on the flower varieties used and the weather conditions at the time, it may be necessary to cut the cake relatively early on in the proceedings to ensure their freshness for the photography.

Non-edible Items

All tiered cakes contain some inedible items, e.g. support dowels, ribbon, wires in sugar flowers, flower picks and flower tape, etc.  We will make the venue aware of this and it is therefore their responsibility to ensure all these items are removed.

Design/Ingredient Changes

Sometimes it is necessary when actually making your cake to change certain features of the design because they are not working out or may compromise the quality of the finished cake (e.g. buttercream melting in hot weather).  In such circumstances, we reserve the right to change the design and/or specification.

Photographs/Images

We reserve the right to use any photographs of your cake for display or promotion without compensation to you.

Complaint/Dispute
In the highly unlikely event of a complaint we ask you to notify us immediately if the complaint is to do with the appearance of the cake.  We will then arrange for the cake to be collected and assessed.

In the event of a complaint about the taste/quality of the actual cake, the whole cake must be returned for testing and evaluation. 

No complaint will be accepted without the product being returned for evaluation. 

No refund will be given if a cake is consumed, regardless of the type of complaint.

Any refund given for disputes regarding a cake design or production of a design are completely at the discretion of Little Cottage Cakes and are not automatic. 

Privacy Policy

We care about your private information and at Little Cottage Cakes we take your privacy seriously.
Our privacy policy covers identifiable personal information that we gather when we take an order from you or when you visit our website.

The information we collect may include name, address, telephone number, email address and a delivery address and event date which may be a birthday.

We do not share or sell your information to any 3rd party and only those involved in the processing of your order will need access to the information. The information is kept either on a laptop which is password protected, or in paper format records necessary for tax returns to HMRC.


The information you provide when you place an order is not kept any longer than is necessary and destroyed in a responsible manner.

Privacy policy has been updated in line with the new GDPR legislation which came into force on 25th May 2018.
